Room Reservation Guidelines

Business Building controlled classrooms may be reserved at the beginning of the current semester. Requests may be submitted anytime, but confirmations can only be made after the University Registrar has finalized class schedules for each semester.

Conference Rooms may be requested the semester prior, but are subject to approval at the room coordinator's discretion.

To guarantee a room in the College of Business, we ask that you make your request at least two weeks in advance. Any requests made less than two weeks out from the request may be refused.

College of Business staffing is very limited and may prevent us from being able to fulfill requests with less than two weeks’ notice.

Reservations for the College of Business Atrium, Patio, and most classrooms are handled by Kansas State University Facilities. To reserve any of these spaces, start here.

The Registrar’s Office finalizes class schedules the week prior or the week of classes beginning and can change during the first week of classes if needed. Academic needs may cancel room reservations at any time. The rooms listed below are considered “departmentally controlled spaces” and are handled by Program Assistant Ally Demott.

• BB-1051 (17-seat Student Success Center Conference Room (only the office of Student Success can schedule this room.)
• BB-1071 (Catering Kitchen)
• BB-1092 (70-seat classroom) scheduled after the university class schedule is final
• BB-2046 (17-seat Conference Room)
• BB-2047 (15-seat Conference Room)
• BB-3042 (24-seat Conference Room)
• BB-3046 (15-seat Conference Room)
• BB-4001 (48-seat Classroom) scheduled after the university class schedule is final
• BB-4058 (Catering Kitchen)
• BB-4061 (50-seat Executive Conference Room)

No classrooms are to be scheduled for any non-class activity during dead week and finals week.

CBA Student Organizations: Conference rooms can only be utilized if a faculty member/CBA advisor will be present. The faculty member should be CC’ed on any email communications. They will be able to use their classroom/conference room key to unlock/lock the door.

CBA Faculty Organizations: Conference rooms can be utilized any time with a confirmed reservation and will use classroom/conference room key to unlock/lock.

Student Organizations: Non-CBA student organizations are not allowed to reserve conference rooms at this time unless their faculty/staff advisor has made arrangements and will be present at the meeting.

Faculty Organizations: Campus-wide faculty organizations that have an approved reservation in the CBA that begin and conclude before 5pm should check out the conference room key from the CBA Dean’s Office, located on the second floor of the building. All events that end or take place after 5pm will be unlocked and locked by the CBA IT office.

Non-Campus Organizations: Non-campus organizations that have an approved reservation in the CBA that begin and conclude before 5pm should check out the conference room key from the CBA Dean’s Office, located on the second floor of the building. All events that end or take place after 5pm will be unlocked and locked by the CBA IT office.

*If an organization is working with a CBA faculty or staff member to coordinate the event, other arrangements may be made.

Recent policy changes from Facilities limits food consumption in the building. Food may only be served in Conference Rooms, the Atrium, or the Patio.

ANY food, even prepackaged snacks, must be approved by the Campus Sanitation Office before Facilities will officially reserve the space. Please send the following to Ron Bridges at ronbrid@ksu.edu

Alcoholic beverages may be served on university property only: (1) when approved by the President or the President’s approval designee; and (2) when served in connection with official university events, fundraising activities for university programs, or other events or locations that further the university’s mission.
